Mortgage Fixed is an appointed representative of Mortgage Advice Bureau Limited. Both companies, known together in this document, are referred to as “Mortgage Fixed”, “we” and “us”.

How Do We Collect Your Personal Data?

We collect personal data using the following methods:

Direct Interactions

Interactions with an adviser in person, by post, phone (including call recordings and voicemail), email, videoconferencing or otherwise when sourcing and applying for mortgage or protection products. This processes Identity, Contact and Financial data.

Automated Technologies

Interactions with our website, customer portal, web enquiry forms or the “Find a Mortgage” function, processing Identity, Contact, Financial and Technical data.

Third Parties or Publicly Available Sources

Processing Identity, Contact and Financial data, including:

  • Estate agents (with your consent)
  • New home builders (legitimate interest to assess affordability)
  • Third-party mortgage sourcing websites
  • Your bank via Open Banking (with your consent)

How Do We Use Your Personal Data?

We use your personal data to:

  • Initially engage with you to discuss your requirements
  • Source products, provide indicative quotes, and process and deliver mortgage or protection applications
  • Manage our client relationship, including:
    • Creating and maintaining your customer portal account
    • Notifying you of changes to our terms or privacy policy
    • Conducting customer reviews and surveys
    • Re-engaging when existing products near expiry or protection needs require review
  • Respond to case enquiries and manage complaints
  • Perform affordability checks on behalf of estate agents or new home builders
  • Administer and protect our business and our website (including troubleshooting, data analysis, testing, system maintenance, reporting and hosting)
  • Deliver relevant website content and advertisements and measure their effectiveness
  • Use data analytics, AI and automated decision-making systems to improve our services, marketing, customer relationships and experiences

Sharing Data Outside the United Kingdom

Some suppliers are based overseas. Where data is transferred outside the UK, we use safeguards such as Standard Contractual Clauses approved by the European Commission to ensure GDPR-equivalent protection.


Who We Share Your Personal Data With

  • Within Mortgage Fixed – depending on your requirements, it may be necessary to share your personal data with Mortgage Fixed’s network and specialist product providers in order for suitably qualified advisers to source relevant products and services or to re-engage with existing clients
  • Lenders and protection product suppliers – to source and submit applications and provide ongoing servicing
  • Financial institutions – to source your bank account information via Open Banking (with consent)
  • External suppliers – specialist IT system providers and service partners supporting product sourcing, advice delivery, document sharing, payment processing, service improvements and feedback requests
  • Solicitors and conveyancers – to update progress, confirm identity and proof of deposit
  • Estate agents and new home builders – to update results of affordability checks and application progress
  • Licensed credit agencies – for identity checks, credit assessments and lender decision processes
  • Regulators – to meet legal and regulatory obligations (including Anti Money Laundering requirements)
  • Others – third parties involved in a sale, transfer, merger or acquisition of the business

All recipients must maintain appropriate security and confidentiality and only process personal data in accordance with Mortgage Fixed instructions.


How Long Do We Retain Your Personal Data?

After these periods, if there is no ongoing client relationship, your personal data will be securely deleted or anonymised for statistical use.
